Terms of Service
Last updated: September 20, 2026
These Terms of Service govern access to Vestara Vault. By creating an account, joining a workspace, or using the service, you agree to these terms.
1. Eligibility and authority
You must be at least 18 years old and legally able to enter a contract. If you use Vestara Vault for a company or other organization, you represent that you have authority to accept these terms for that organization. “Customer,” “you,” and “your” include that organization and its authorized users.
2. Accounts and teams
You must provide accurate account information and keep login credentials confidential. You are responsible for activity under your account and for promptly notifying us of suspected unauthorized access.
A workspace may include owners, managers, and inspectors. Workspace owners control invitations, roles, and billing and are responsible for ensuring that each user is authorized. Users may access only the workspace to which their account belongs.
3. The service
Vestara Vault helps property teams document rental-unit condition through move-in and move-out inspections, room records, photographs, notes, timestamps, side-by-side comparisons, tenant sign-off, email sharing, and printable or PDF reports. Features may evolve, and we may improve, replace, or discontinue features while preserving the core value of an active paid plan when reasonably possible.
4. Subscription, pricing, and payment
New customers receive a one-time 3-day free trial. A valid payment method is required to start the trial, and unless you cancel before it ends, your card is automatically charged for the starter plan ($39 per month) when the trial ends and monthly thereafter. Plans are billed monthly according to apartments under management, with a $39 monthly minimum. When per-apartment pricing exceeds that minimum, the current rate is $2 per apartment per month. The price and quantity shown at checkout control your purchase.
Your subscription renews automatically each billing period until canceled. You authorize our payment provider to charge the payment method on file for recurring fees, applicable taxes, and authorized adjustments. You must keep billing and apartment-count information accurate.
You may cancel through the billing controls. Unless the checkout or law says otherwise, cancellation takes effect at the end of the current paid period, and fees already paid are non-refundable. We may suspend access after failed or overdue payment. We may change future pricing with advance notice; the change will apply no earlier than your next renewal after the notice period.
5. Customer responsibilities
You are responsible for:
- having lawful authority to enter properties, conduct inspections, and photograph or document people, possessions, and premises;
- giving tenants and others any notice and obtaining any consent required by lease, policy, or law;
- the accuracy, completeness, relevance, and lawful use of records, notes, captions, comparisons, and reports;
- reviewing reports before sharing, signing, printing, or relying on them;
- protecting report links and sending them only to intended recipients; and
- complying with housing, privacy, consumer-protection, records, and other laws applicable to your operations.
6. Tenant sign-off and automated captions
A tenant sign-off records the signer’s entered name, signing time, and network address. It is designed to document acknowledgment of the report presented through the link. Vestara Vault does not guarantee the signer’s identity, the legal enforceability of a sign-off, the admissibility of a report, or the outcome of any dispute.
Photo captions may be drafted automatically using artificial intelligence. They are convenience aids, can be incomplete or incorrect, and are not professional opinions, damage assessments, causation findings, or assignments of responsibility. You must independently review them.
Vestara Vault is not a law firm, property inspector, appraiser, insurer, or dispute-resolution service. The service does not provide legal advice or determine whether a deposit deduction or claim is justified.
7. Customer content
You retain ownership of photographs, notes, property information, and other content submitted to the service. You grant Vestara Vault a non-exclusive, worldwide license to host, copy, process, transmit, display, and create technical derivatives of that content only as needed to operate, secure, support, and improve the service and fulfill your instructions.
You represent that you have the rights needed to submit and use customer content. You may not upload content that is unlawful, infringes another person’s rights, contains malicious code, or is unrelated to legitimate property-management and inspection activity.
Feedback you voluntarily provide may be used without restriction or compensation, provided we do not identify you publicly without permission.
8. Acceptable use
You may not:
- use the service unlawfully, deceptively, abusively, or to violate another person’s privacy;
- attempt to access another organization’s account, records, systems, or nonpublic areas;
- probe, disrupt, overload, reverse engineer, or bypass security or access controls, except where law expressly permits;
- share credentials, resell the service without permission, or use automated means to extract data at unreasonable volume; or
- upload malware or content that exploits, threatens, harasses, or unlawfully discriminates against a person.
9. Data protection, export, and deletion
We use reasonable safeguards designed to separate workspaces and protect stored records, but no system is completely secure. Customers may export reports and delete records using available service controls. Deleting a property or unit may permanently remove related inspections and photographs. Before closing an account or ending a subscription, export any records you are legally or operationally required to retain. Our handling of personal information is described in our Privacy Policy.
10. Third-party services
The service depends on third parties for hosting, authentication, storage, payments, email delivery, and automated image analysis. Their services may be governed by their own terms and privacy practices. Vestara Vault is not responsible for third-party services outside our reasonable control.
11. Suspension and termination
You may stop using the service or cancel your subscription at any time. We may suspend or terminate access for nonpayment, material breach, unlawful use, security risk, or conduct that threatens the service or others. When practical, we will provide notice and an opportunity to cure. Provisions that by their nature should survive termination—including payment obligations, ownership, disclaimers, liability limits, and indemnity—will survive.
12. Service availability and warranties
To the fullest extent permitted by law, the service is provided “as is” and “as available.” Vestara Vault disclaims all express or implied warranties, including merchantability, fitness for a particular purpose, title, non-infringement, uninterrupted availability, and that records, captions, signatures, or reports will satisfy any legal or evidentiary requirement.
13. Limitation of liability
To the fullest extent permitted by law, Vestara Vault will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, data, use, or goodwill. Vestara Vault’s total liability arising from the service or these terms will not exceed the amount you paid to Vestara Vault during the 12 months before the event giving rise to the claim. These limits do not apply where prohibited by law.
14. Indemnity
To the extent permitted by law, you will defend, indemnify, and hold harmless Vestara Vault from claims, losses, liabilities, and reasonable costs arising from your customer content, inspections, report use, violation of law, violation of these terms, or infringement of another person’s rights.
15. Governing law and disputes
These terms are governed by the laws of the State of California, without regard to conflict-of-law rules. Any dispute not resolved informally will be brought in the state or federal courts located in United States, California. Before filing a formal claim, each party agrees to send written notice describing the dispute and try in good faith for 30 days to resolve it informally. Nothing in these terms prevents either party from seeking urgent injunctive relief or using a court of competent jurisdiction where required by law.
16. Changes and general terms
We may update these terms as the service or law changes. We will post the revised terms and update the date above; material changes will receive additional notice when required. Continued use after an update takes effect means you accept the revised terms. If one provision is unenforceable, the rest remain effective. A waiver must be in writing. You may not assign these terms without our consent; we may assign them as part of a reorganization, financing, merger, or sale. These terms and referenced policies are the complete agreement about the service.
